WhatsApp AI Chatbot for Business: How to Build One That Customers Actually Like (2026 Guide)
In this article

From my own builds: I’m Saizul Amin, an AI agent developer and automation engineer. I run AI agent systems in production on self-hosted n8n and Docker (Messenger, WhatsApp, Telegram and email), so the advice below comes from operating them, not from reading about them. Last reviewed: October 2026.

For many businesses in Bangladesh and around the world, WhatsApp is where customers already are: they ask about prices, availability and delivery at all hours, and they expect a reply in minutes. A WhatsApp AI chatbot can answer instantly, capture the lead and hand over to a person when it should. Built badly, it frustrates customers and can even get your number blocked.

I build and run AI agents on WhatsApp, Messenger and Telegram for businesses, including a WhatsApp agent that answers pricing questions, checks availability and confirms bookings, so this guide is about what works in practice, not a feature list.

WhatsApp Business app vs WhatsApp Business Platform (API)

This is the first decision, and it determines everything else.

WhatsApp Business app compared with the WhatsApp Business Cloud API: features, automation, templates and scale
Pick the app for a human-run inbox; pick the Platform (Cloud API) for real automation.
WhatsApp Business app WhatsApp Business Platform (Cloud API)
Who it is for Small shops answering manually Businesses that want automation, integrations and many agents
Automation Greeting, away message and quick replies only Full: chatbots, AI agents, CRM and sheets integration
Interface The app on your phone No app of its own; you connect it to your software
Proactive messages Manual or broadcast lists Pre-approved message templates
Setup Minutes Meta developer account, business verification, webhook and a developer or partner
Cost Free Pay per message under Meta’s pricing (check the current rates)

If you only need a greeting and a few canned answers, the Business app is enough. For an AI chatbot you need the Platform: it is the only official way to connect WhatsApp to software.

What a good WhatsApp AI chatbot can do

    • Answer common questions: prices, opening hours, delivery areas, policies, from information you supply.
    • Qualify and capture leads: ask a few questions and save the answers to Google Sheets or your CRM.
    • Book and confirm: check availability and confirm an appointment or order.
    • Check status: order, delivery or ticket status through a lookup.
    • Hand over to a human with the full conversation, when the customer asks or the bot is unsure.

What it should not do: invent prices or policies, handle disputes alone, or pretend to be a person. Say clearly that it is an automated assistant and always give an easy route to a human.

The rules you must understand before you build

    1. The 24-hour customer service window

When a customer messages you, a 24-hour window opens in which you can reply with free-form messages, which is where your AI agent lives. After the window closes, you can only send pre-approved message templates. Your bot should know which state a conversation is in.

    2. Templates

Templates (for example appointment reminders or order updates) are written by you, submitted for approval and categorised by purpose (utility, marketing, authentication). Marketing templates cost more and are scrutinised more. Do not send marketing to people who have not opted in.

    3. Opt-in and quality

You need clear permission to message customers first. High block and report rates reduce your quality rating and messaging limits, and can lead to restrictions.

    4. Policy on AI assistants

Meta’s WhatsApp Business policies and terms are updated periodically, and the latest versions restrict general-purpose, open-ended AI assistants being distributed through the Business API. A bot that serves your own business’s customers (support, bookings, orders, product questions) is the intended use. Always read the current terms before you launch.

    5. Privacy

Customer messages are personal data. Know which AI provider receives them, keep only what you need, and say so in your privacy policy.

How it works under the hood

Flow of a WhatsApp AI chatbot: customer message, webhook, AI agent with tools, reply, log and human handoff
The shape of a WhatsApp AI agent built on the Cloud API and a workflow tool such as n8n.
    1. The customer sends a message to your WhatsApp number.
    2. Meta delivers it to your webhook (a public HTTPS URL you provide).
    3. Your workflow (for example in n8n) receives it and passes it to an AI agent with your instructions, memory and tools.
    4. The agent may call tools: look up availability, search your knowledge base, save the lead.
    5. The reply is sent back through the Cloud API; the conversation is logged; if needed, a human is alerted.

I walk through the workflow side in how to build an AI agent with n8n, and the concepts in what is an AI agent.

    Step-by-step setup

    1. Create a Meta Business account and, when asked, complete business verification (needed for higher limits and some features).
    2. Create a Meta developer app and add the WhatsApp product. Meta provides a test number so you can build before connecting your real number.
    3. Add and verify your phone number. A number that is registered with the Platform generally cannot also be used in the regular WhatsApp or Business app at the same time (Meta has been adding a “coexistence” option for some businesses, so check the current documentation).
    4. Set up the webhook: give Meta a callback URL and a verify token you choose; your server must answer the verification request correctly and then receive message events. Subscribe to the messages field. Verify the request signature in production. See Meta’s webhook guide.
    5. Build the workflow: receive the message, run the AI agent, send the reply. In n8n there are WhatsApp trigger and send nodes that handle much of this.
    6. Create and submit templates you will need (confirmations, reminders).
    7. Test with real examples, then switch to your production number.

    Designing the conversation

A WhatsApp customer wants a quick, short, correct answer. Principles that work:

    • Short replies: two or three sentences, one question at a time.
    • Their language: match Bangla, English or mixed Banglish; test typos and voice notes.
    • Facts from you: give the agent your prices, hours and rules, and instruct it never to invent anything.
    • Clear escalation: if the customer is upset, asks for a person, or the topic is a refund or complaint, hand over immediately.
    • Memory per customer: key the conversation memory by the customer’s WhatsApp number, or customers will see fragments of each other’s chats.

A short example of the instruction block:

You are the WhatsApp assistant for [Business], a [type] in Dhaka.
Reply in the customer's language (Bangla or English). Keep replies under 3 sentences.
Use ONLY the information below. If it is not there, say a team member will reply
and use the handoff tool. Never invent prices, discounts or availability.
If the customer asks for a person, complains, or asks about a refund: hand over.

    Example flows that work

    Business What the agent does
Clinic or salon Answers services and prices, checks open slots, confirms the booking, sends a reminder template
Online shop Answers product and delivery questions, checks order status, captures complaints for a person
Training or education Explains courses and fees, collects name and goals, books a counselling call
Real estate or services Qualifies budget and location, saves the lead to a sheet, alerts a salesperson

    What does it cost?

There are four cost blocks: Meta’s per-message charges (depending on template category and country; replies inside the customer service window are generally the cheapest, so check Meta’s current pricing), the AI model usage, hosting for your workflow tool, and the build and maintenance work. A focused agent for one number is a small project, and the biggest long-term cost is usually message volume rather than software.

    Test like a customer

    • Run 30 to 50 real past messages through it, including typos, voice notes, mixed languages and angry messages.
    • Try to trick it into revealing prompts or inventing prices.
    • Check the handoff: does a person get the full context quickly?
    • Monitor the first weeks daily and read the conversations.

    Common mistakes

    • Using an unofficial “WhatsApp Web” automation tool: it violates WhatsApp’s terms and risks getting your number banned. Use the official Platform.
    • No human handoff, so frustrated customers loop with the bot.
    • Sending marketing messages without opt-in.
    • One shared memory for all customers.
    • Letting the AI answer from general knowledge instead of your facts.

Need this built for your business?

I design, build, deploy and maintain custom AI agents and automations for businesses, on infrastructure I operate myself (self-hosted n8n and Docker), in Bangla and English.

    • WhatsApp, Messenger, Telegram and web-chat agents that answer, qualify leads, book and hand over to a human.
    • Knowledge (RAG) assistants that answer from your own documents, with sources and a safe “I don’t know”.
    • Voice, document and back-office agents, plus multi-agent teams for research, writing and reporting.
    • Hosting and DevOps: secure n8n and Docker setups, backups, monitoring and updates.

The process: a free discovery call, a written scope and fixed quote, a focused first version, testing on your real conversations, then deployment with monitoring. See live systems on the AI agent services page, browse the portfolio, or tell me about the job you want automated.

    Frequently asked questions

Can I build a WhatsApp chatbot for free?

You can build and test with Meta’s test number for little or nothing, but a production chatbot has message, hosting and model costs. The WhatsApp Business app itself is free but only offers simple automatic replies.

Is it legal and allowed to use AI on WhatsApp?

Yes, for businesses using the official Platform and following Meta’s policies, with opt-in, accurate information and a clear path to a human. Check the current terms for restrictions on general-purpose assistants.

    Can the chatbot speak Bangla?

Yes. Modern models handle Bangla well enough for customer conversations when instructed and tested properly. I run agents that reply in Bangla.

    Do I need a developer?

For the official Cloud API, webhook and AI integration, usually yes, or a partner who has done it before.

How long does it take to build?

A focused WhatsApp agent can often be live within days to a few weeks, depending on integrations and approvals.
